The master document list is the central index of the QMS: it lists every controlled document with its code, title, current revision, date, the person who approved it and the places where it is distributed. It answers in seconds the questions that clause 7.5.3 of ISO 9001 asks in practice: which is the current version of each document? Who approved it? Where are the copies that have to be collected when a new revision is issued?

The risk the master list removes is the classic obsolete document in use: the operator following revision B of the work instruction while engineering has already released revision C with a different parameter. In an audit, finding an outdated copy at the workstation is one of the most frequent nonconformities — and one of the most avoidable. That is why the distribution column matters so much: if you do not know where the copies are, you cannot update them.

Good coding practices: use a short and consistent pattern, such as TYPE-AREA-SEQUENCE (PQ-QUA-02 = quality procedure number 2; IT-INJ-05 = work instruction for injection molding number 5). Also register the documents of external origin that the operation uses: technical standards, customer drawings, equipment manuals — clause 7.5.3.2 requires them to be controlled too, and almost everybody forgets.

The template below shows a lean and complete master list. In a digital system with access control and a single version (such as the PrismaBiz document module), the physical distribution column tends to disappear — all that is left is to make sure nobody prints an uncontrolled copy.
